How QR event check-in works on CharterPass

A practical guide for organizers — from publishing an event to scanning members in at the door in about a second each, with attendance recorded automatically.

The worst part of running a member event is the door. A folding table, a printed name list, one volunteer flipping pages while the queue grows. Here's how the same job looks on CharterPass.

Before the event

  1. Publish the event from your organization's admin area — title, date, venue, capacity and description.
  2. Members register in-app. They see the event in their app, tap to register, and it's on their list. You watch registrations come in against your capacity in real time.
  3. No printing. There is no name list to export, no lanyards to stuff. Every registered member's pass is their ticket.

At the door

Your door staff open the scanner on any phone — no special hardware, no app store install for helpers, just a browser.

  1. A member opens their pass and taps it to flip to the QR side.
  2. Staff scan the code.
  3. The screen confirms the member — name, membership status, and whether they registered — and the check-in is recorded with a timestamp.

That's the whole flow. In practice a scan takes about a second, so even a single volunteer clears a queue quickly. Because the pass QR is personal, walk-ins with a valid membership are also identified instantly, and non-members are caught at the door rather than discovered later.

After the event

Attendance is already recorded — who registered, who actually came, and when they arrived. It lives with your member roster, so a member's event history builds up over time. Need it for a committee report or a funding application? Export it as CSV.

A few details organizers ask about

  • What if a member's phone is dead? Staff can search the roster by name and check them in manually.
  • Can we limit check-in to paid members? The scan result shows membership status, so your door policy is your call — the app gives staff the information at a glance.
  • Multiple entrances? Any number of staff phones can scan at the same time.
