How to set up your organization on CharterPass

If your committee still runs membership on a plastic-card printer and a shared spreadsheet, moving to CharterPass takes an afternoon, not a project. Here's the whole path, start to finish.

1. Register the organization

You don't need an account to begin — start the registration straight from the register page. You'll give your organization's name, type (club, society, alumni association, professional body, union, chamber and so on) and a few basic details. Registering is free.

Onboarding is bilingual, so you can set your organization up in English or Chinese depending on how your members read.

2. Set your membership tiers and fees

Most organizations don't have a single flat membership — there's ordinary and student, or member and associate, or a life tier. Define whatever tiers you actually use, and set the fee for each. This is yours to decide; CharterPass doesn't dictate your structure.

3. Let members apply — and approve them

Members apply through the app and land in your approval queue. For paid tiers, applicants can submit proof of payment, which your committee reviews before approving — so the roster only contains members who've actually paid. Approve, and the member instantly gets their digital pass with a personal QR. No printing run, no posting cards.

Everything sits in a searchable member roster with CSV export, so your records are always current and always yours — no more chasing the "latest" version of a spreadsheet between committee members.

4. Turn on the parts you'll use

With members in, the rest is optional and independent — switch on what fits your organization:

• Events with QR check-in. Publish an event, take registrations in-app, scan members in at the door in about a second each. Full guide here.
• Broadcasts and a home feed. Send an announcement to every member in one tap, instead of a group chat half of them have muted.
• Member perks. Partner merchants list member-only offers your members redeem from the app.

5. Give members the pass

Approved members add their pass to their phone — and now to Apple Wallet, so it's a lock-screen press away at the door. That's the plastic card replaced.

What it costs

Registering is free, you set your own fees, and there's no per-member printing cost because there's nothing to print. If your organization also works with merchants running loyalty or ordering, CharterPass POS connects to the same passes.
